Our clients are international financial advisors, our goal is to help them achieve top quality performance for their own clients, who are retail and institutional investors.

We offer a trading platform, product research and comprehensive back-office support, all of which is provided and supported by highly experienced and dedicated staff in our Luxembourg, Brno, Frankfurt, Vienna and Warsaw offices.

We are now looking for candidates (M / F) who would like to join our team as

Receptionist / Administrative Assistant (CDI)

As the successful applicant your main tasks will be to :

  • Manage Reception :
  • handle telephone calls incoming to main and client operations numbers;
  • handle incoming and outgoing mail, DHL and similar;
  • Deal with deliveries, greet visitors
  • Maintain the visitors log
  • Provide secretarial services to Executive / Senior Management (travel arrangements, table reservations, set up meetings );
  • Manage meeting room and parking spot reservations;
  • Maintain and manage office supplies : stationery, water, distributor machines, hygiene supplies;
  • Manage administrative supplier relationships (e.g., Post Office, stationery suppliers, cleaning company, furniture ..);
  • Liaise with Landlord regarding e.g. office conditions, running repairs, badge system, parking spots, special requests
  • Provide back up for daily, ad hoc and periodic client mailings (printing documents, enveloping using enveloping machine, despatch by mail or electronic postings into dedicated on-line mail boxes)
  • Help with heavy work volumes from other teams : account opening document sorting and scanning, signature checks, returned mail, track duplicate mail ..
  • Profile

  • Fluent in English, German and French written, read and spoken. Luxembourgish and other European languages are an advantage
  • Excellent communication skills, particularly over the telephone and in personal welcomes
  • Client service oriented attitude towards both internal and external clients
  • Flexible
  • Well organized
  • Shows initiative whilst acknowledging need to respect and reinforce procedures
  • Discreet
