Key tasks

We are looking for a Sales Administrative Assistant Trainee for 6 months.

  • Provide administrative and customer support for assigned sales managers and Director of Sales.
  • Prepare sales-related documents throughout the sales process (e.g., proposals, contracts, or any other letters as per company needs).
  • Promote awareness of brand image internally and externally. Prepare Presentations (Power Point) related to the Sales Meetings or company, brand presentations to support
  • the Sales Team

  • Gather materials and assemble information packages (e.g., brochures, promotional materials).
  • Enter, retrieve, reconcile, and verify information in ANAIS software related to the sales process.
  • Enter and retrieve information contained in computer databases to update records, files, reservations, and answer inquiries from guests.
  • Prepare letters, memos, and other documents using word processing, spreadsheet, database, or presentation software.
  • Prepare and pilot emailing campaigns or telemarketing calls related to business needs.
  • Create and maintain computer- and paper-based filing and organization systems for records, reports, and documents. Compile, copy, sort, and file records of office activities,
  • business transactions, and other activities.

  • Support the Sales Team in case of Travel arrangements : participation to Trade Shows, booking accommodation, flights etc
  • Follow all company policies and procedures, verify personal appearances are clean and professional, maintain confidentiality of proprietary information, and protect company
  • assets.

  • Welcome and acknowledge all guests according to company standards, anticipate and address guests’ service needs, assist individuals with disabilities, and thank guests with
  • genuine appreciation.

  • Speak with others using clear and professional language, prepare and review written documents accurately and completely, and answer telephones using appropriate
  • etiquette.

  • Develop and maintain positive working relationships with others, support team to reach common goals, and listen and respond appropriately to the concerns of other employees
  • Perform other reasonable job duties as requested by Supervisors
