To strengthen our team in Dudelange, Luxembourg, we are looking for our Human Resources Department a Manager Assistant Trainee (m / f)!
A Day In The Life Typically Includes
You are in charge of day to day administrative management of all HR and Office tasks and contribute in their standardization and optimization.
You provide support in developing and deploying HR processes, methodology and tools with best practices and knowledge sharing among the HR team.
You actively participate in information relays between HR plant and Shared Service Center (Payroll, Recruitment ).
Ensure integration of job descriptions into Recruitment platforms and participate in several forums and jobfairs.
Ensure recruitment screenings based on our Company culture and according to researched skills in relation with HR and Shared Service.
Temporary workers management :
According to requests from supervision, take part in the follow up of temporary workers with agencies (documents, timesheets, evaluations ).
Provide support in the elaboration of forecasts.
Ensure that temporary workers are contracted whenever and wherever needed and follow-up and participate in temporary forecast elaboration.
Reporting & Systems :
Administrative support for preparation and daily follow-up of personnel files, assistance in the preparation of powerpoint presentations, reporting and statistics (documents exchange with Payroll team like medical document, personal data changes).
Support HR Dept to update employee files folders and HR filing system by maintaining confidentiality in order to provide information for authorized persons and organizations.
Participate in the establishment of cofinancing file for application of subsidy (59 800 € received in March 2018 for request of the year 2016 / 45 000€ received in July 2019 for request of the year 2017).
Participate in the implementation of a new system tool (My HR) and training & follow up of employees in the use of the platform.
Office Management assistance :
Follow up of mailing and DHL (receiving and sending)
Order meeting rooms and ensure the stock of drinks and foods for the lunch of external meetings (preparation of meetings rooms, completion of fridges, ) with the support of Office Manager
Follow up of medical appointments with the optician and medicine
Preparation of new employee (locker key, administrative document for the folder, request for security equipment, )
Support in reservations (taxis, restaurant, room in the hotel) for external visitors.
What You Will Need?
Bachelor level in Administration or Human Resources;
