The Senior Transfer Agency Representative will be responsible for the oversight of Transaction Processing and Cash for the funds for which BBH acts as Registrar.

Specific responsibilities include the ability to perform Transfer Agency Transaction Processing functions in a controlled and efficient manner while maintaining high client satisfaction.

He / She will also be the key contact for any client or inter-departmental queries arising from TA. The role will involve working closely with, and providing support to, their supervisor to ensure the team operates efficiently and that deadlines are met.

This will require initiative and attention to detail as well as the ability to gain commitment among fellow team members.

Responsibilities : 1. Product

1. Product

  • Ensure all enquiries are addressed in a timely and accurate manner.
  • Oversight of daily controls to ensure that at all times accuracy standards and deadlines are met.
  • Monitoring various Platforms, including SWIFT and NSCC.
  • Review and discuss with the Supervisor, Team Leader and Manager any issues that require escalation.
  • Ensure that policies and procedures are adhered to on a daily basis and have this evidenced.
  • Review and reorganize together with the Transaction Processing Manager and peer’s functional tasks that achieve maximum efficiency and reduce operational risk.
  • Keep Errors and Omissions at a strict minimum at all times.
  • Preparation of any sample files required for internal or external audits.
  • 2. Client Service

  • Remain knowledgeable of changing industry initiatives (attend presentations, work sessions & personal effort).
  • Establish effective internal (BBH) and external (clients) network.
  • Actively participate and work with the IRM’s and Fund Profile Management / Production Support in the launch of any incremental business such as new funds or share classes.
  • Work with the manager to manage controls efficiently to alleviate any potential risk areas.
  • Regular attendance and active participation at team meetings.
  • 3. Human Resources Management

  • Perform and participate in the cross-training of staff on all aspects of Transfer Agency Data and Transaction Processing & Cash functions to develop depth and breadth of knowledge.
  • Qualifications :

    1. Education level and / or relevant Experience

  • BA / MS degree preferably in a business, finance, or accounting related concentration and / or equivalent work experience.
  • Minimum of 2-3 years of related work experience.
  • Financial Services industry knowledge and experience required; knowledge of BBH strongly preferred.
  • Background in Transfer Agency preferred; broad understanding of the key roles assumed by Transfer Agency expected.
  • Prior experience working in a client servicing focused work environment
  • 2. Knowledge, skills and Abilities (general and technical)

  • Experience in planning, initiating and following through to meet objectives.
  • Ability to coordinate across departments / functions when needed to handle specific client requests.
  • Ability to identify, recommend and implement improvements to existing processes.
  • Attention to detail and proven ability to handle complexity.
  • Ability to work effectively under pressure and demonstrate initiative.
  • Proven ability to communicate effectively both verbally and in writing.
  • Proven ability to adapt to change and problem solving.
  • Good knowledge of standard Office applications (Word, Excel and PowerPoint).
  • Knowledge or prior experience of Multifonds TA, Fundtrader, TLM and Creation Online is favorable.
