What this job involve

  • Daily supervision of all mail room functions across the campus, ensuring that all agreed service levels and service standards are met and complied with.
  • Supervision and management of the Mail and Supply Specialists across the campus, including monitoring absence levels and performance.
  • Ensure all Mail and Supply Specialists are appropriately trained to perform their tasks efficiently.
  • Ensure good communication between the mail room teams across buildings.
  • Preparation of the staff roster to ensure a fully flexible and effective staffing approach is maintained during all working periods, taking holiday and other personal leave days into account.
  • Ensure accurate and detailed hand over is planned & passed on, if a team member is absent from the business.
  • Assist Mail and Supply Specialists in sorting and delivering mail when necessary.
  • Ensure that all mail and courier items are collected and distributed via the correct mailing systems.
  • Oversee the liaison with courier partners to maintain excellence of service delivery (DHL, POST, Securitas, S&S, etc.).
  • Suggest ways to make mail processes and records more effective and efficient.
  • Present necessary data to manager about activity in the mailroom.
  • Monitor and maintain mail consumables stock according to agreed par-stock levels across the campus.
  • Maintain frequent contact with key business partners and stay up-to-date with their departmental mail requirements.
  • Be familiar & adhere to Office Services internal procedures.
  • Support the wider JLL on-site team
  • As front line employee, act as an ambassador of the Integrated Facilities Management program
  • All other tasks and duties as required.

  • Experience in hospitality industry or strong customer service experience
  • Excellent verbal & written communication
  • Proficient with the use of Microsoft Office tools
  • Problem solving

  • Fluency in English and local language
