The Max Planck Institute Luxembourg is an Institute of the Max Planck Society, which is Germany’s most successful research organization.
The Institute in Luxembourg carries out collaborative research in the fields of international Procedural Law.
In order to support our small HR Unit in the daily activities, we are currently looking for a dynamic and motivated : HR Officer (m / f) Fixed-
term contract for 12 months full time, 40 hrs / week Mission : Fully integrated in the HR Unit, you will provide support and be involved in all tasks linked to the general administration of the team and its activities.
You will have the opportunity to carry out dedicated HR tasks and learn more about the specifics of our international academic environment.
Main duties : Support the HR team in its operations and secure the smooth running of all HR administrative duties in accordance with the institute’s values and strategy;
Assist in talent acquisition and recruitment processes; Prepare employment contracts, addendum, work certificates and other documents to be issued by the HR department;
Support and conduct employee onboarding activities; Provide support to employees in various HR related topics such as leaves, compensation, absence management etc.
Maintain employee files and records in electronic and paper form and ensure the input and update of all personnel data in our IT systems;
Assist to the preparation of the payroll; Responsible for the Student Assistant Coordination (needs, planning, recruitment, contracts, onboarding, exits and absences) Support our Guest Program for international researcher and be part of the integration process of our scholarship holders;
Provide general assistance to the HR Manager and the Head of Administration in terms of organization and administration of the HR Unit.
Profile : You have gained at least 5 years of experience in a HR role or in administration dealing with various aspects of HR administration;
You have a university degree or an equivalent qualification in HR, economics or business administration; You have an open attitude and like to work as part of a team as well as be able to work independently You master the regular IT tools and you are open to develop and use new IT interfaces;
You are sensitive to personal data and able to handle all kind of information with care and confidentiality; You are social but discrete and act with professionalism in any event;
You are self-motivated, well organized and you are able to prioritize tasks; You are interested in our academic context and enjoy working in a truly international environment;
You are fluent in English and German and / or French.
