About the team
The HR team provides HR Admin services, as part of Shared Services, to Reply companies in Luxembourg, Belgium, Netherlands and France.
The position has responsibility for administering the full employee lifecycle for employees across our Luxembourg, Belgium, Netherlands and France businesses, and will be based in Belgium or Luxembourg.
Activities will include but are not limited to monitoring of Company Policies, issuing offers and contracts of employment, on-boarding and leavers’ administration.
There will be opportunities to get involved in other HR topics and projects. A close collaboration and support in labour matter to the managers of the company will be required.
Your missions
Employee Lifecycle and Administration and Management of the entire onboarding process :
Issuing of the offer letters and the contracts in English, French or Dutch.
Collection of all required paperwork and documents
Recording the employees on our HR systems
Liaison with benefits providers, labor doctor, etc.
Lead HR Welcome for the new starters on first day
General HR paperwork issue in English,French and Dutch, such as addendums, communications, etc.
Checking absences and managing long-term sick leave, maternity, and paternity leave.
Processing leavers.
Conducting exit interviews.
Owner of the Staff Handbook and responsible for updating and improving it according to legislation and best practice.
Involvment in the implementation of Company Policy (travel, company car, lunch voucher...).
Administration of all company benefits.
Payroll preparation including : starter, leavers, benefits information and employee changes.
Your profile
At least 1-2 years’ experience working in an HR Administrative capacity ideally in Belgium and / or Netherlands, optionally in Luxembourg and / or France.
Great verbal and written communication skills in English, French and Dutch.
Good knowledge of Windows Office tools
Good and professional telephone manner, with ability to quickly identify quality results.
Flexible for travel to London, Luxembourg, Belgium and France regions as required.
Conscientious and detail-oriented.
Ability to work in a fast-paced business, with regularly changing needs and processes.
Can-do attitude, flexible and a friendly approachable nature.
The ability to explain complex issues simply and clearly.
Able to work and stay calm under pressure
Minimum BA / BSc Degree in a business-related subject, ideally HR Management.
