The Transfer Agency Trailer Fees Supervisor will be responsible for directing team members within the Trailer Fees Team with the objective to achieve overall high accuracy and client satisfaction.

Achieving this will require strong people management, initiative, and attention to detail as well as the ability to delegate and to gain the commitment among team members.

1. Set-up of Agreements

  • Oversee the day-to-day activities of the department
  • Ensure that policies and procedures are adhered to on a daily basis and have this proofed
  • Actively participate and work with Production Support in the launch of any incremental business such as new funds / share classes
  • Set-up of Trailer Fee Agreements in the Trailer Fee System & Static Data maintenance
  • Process Trailer Fees and Rebates
  • Prepare various Trailer Fee Reports
  • Prepare Re-investment Transactions
  • Prepare / Approve payments of commissions
  • User Acceptance Testing for new products, data migration, enhanced reporting
  • Ensure adherence to all established procedures and controls (i.e. signature check, signature limits, account numbers, money laundering prevention, banking secrecy)
  • Communicate professionally and constructively to effectively address and resolve issues with other sections and departments
  • Prepare the monthly management information
  • 2. Client Service

  • Investigate and follow-up client and distributor queries
  • Remain knowledgeable of changing industry initiatives (attend to presentations from Supervisor / Manager, work sessions & personal effort-training)
  • Build and maintain an excellent relationship with the customers and their shareholders
  • Establish contacts with all areas and all levels at inter departmental
  • 3. Staff Supervision

  • Conduct annual performance appraisals and provide regular feedback based on goals for direct reports
  • Participate in the interview and selection process for job applicants, assist new staff members in learning job specific tasks
  • Organize and perform cross-training of staff on all aspects of Transfer Agency functions to develop depth and breadth of knowledge
  • Qualifications : Education :

    Education :

  • BA / MS degree and / or equivalent work experience
  • Minimum of 5 years of Transfer Agency experience, 2 years of which must be in a similar function
  • Prior experience working in a client servicing focused work environment
  • Knowledge and Skills

  • Attention to detail and proven ability to handle complexity
  • Ability to multitask and to manage competing priorities given broad portfolio of clients
  • Ability to work effectively under pressure and demonstrate initiative
  • Proven ability to communicate effectively both verbally and in writing
  • Proven ability to adapt to change and problem solving
  • Strong knowledge of MS Excel is a pre-requisite
  • Knowledge or prior experience of Multifonds is an advantage
  • A second language is a plus, preferred is German and / or French
  • Ability to work overtime as necessary
