We are looking for an Executive Assistant to join our fast-growing, dynamic and entrepreneurial 3rd party Management Company (UCITS / AIFM) based in Luxembourg.
RESPONSIBILITIES : Secretarial :
EA support to the Managing Director
Diary management including the organization of client meetings, travel, and calls
Manage and prioritize information flow, i.e. calls, contacts, emails
Provide strong trustable support to the Managing Director in running the office efficiently
Responsible for client billing and tracking and creating engagement codes
Expense management for Managing Director & Director
Submit timecards for the Managing Director
Support in practice management such as issuing engagement letters
Produce PowerPoint presentations for meetings, taking rough documents and turning them into client ready proposals quickly
Deal with admin queries and issues on all levels when necessary
Marketing and events :
Support marketing efforts, issuing webinar invites
Planning and organizing of client events (some attendance will be required)
Organizing team building and other internal events
Office Services :
Ensuring office is fully stocked of all stationery and marketing materials
Liaise with suppliers and service providers re. invoicing, maintaining up-to-date contracts
Any other tasks deemed necessary for the efficient running of the business
Previous experience of working with senior management and taking responsibility of projects
Advanced skills in word, excel and PowerPoint
Highly organized with the ability to manage time and projects effectively
High level of interpersonal skills
Experience in similar field, i.e. financial services or accountancy
Previous experience in billing, invoicing, chasing defaulters will be highly valued
Ability to communicate effectively, including clients
Fast thinking, proactive and confident working unsupervised using own initiative
Strong attention to detail and high levels of integrity
Excellent verbal and written communication skills
Proven organizational skills with the ability to prioritize heavy workloads and remain calm under pressure
