In the role of Transfer Agent - Platform you will be responsible for :
Under the supervision of the Platforms Senior Associate, the Platforms A2 is the main point of contact for the day-to-
day administration and supervision of the daily Settlement operations within the Dealing Services. The Platforms A2 works closely together with his / her Manager in ensuring that operations, processes and reconciliations are dealt efficiently, accurately, professionally and timely.
The Platforms A2 needs to function at all times as a team player and ensures that other team members follow her / his example.
The Platforms A2 needs to identify the strong and weak areas within the team to prepare proactively any cross training required to ensure a full functional coverage at all times and even during challenging coverage moments.
Successfully attained their final second-level education exams (BAC+2 minimum) or equivalent professional qualification.
At least two years relevant working experience in Transfer Agency or Financial Services.
Ideally involving staff supervision / operation management experience
Preferably good knowledge about Banking, Clearing Platforms (Clearstream, Euroclear, ), Fund Industry, ETF Funds or Financial Markets in general.
Good to advanced computer skills (MS Office : Excel, Word, Power Point, and Outlook).
Knowledge on Microsoft Access would be considered as an advantage.
Excellent communication skills - fluent in English (written & oral).
Other European Languages (German and / or French) considered advantageous.
To be successful in this role, your experience should include :
Reviews and authorises swifts, platforms trades, Mark-up Mark-down, realignments timely and accurately. Ensure that proper chasing is performed on failed trades.
Reviews and authorises Clearing payments / Review unadvised and non-receipts lists
Ensure platforms trades (Euroclear, Clearstream and ETF), Mark-up Mark-down, realignments settle timely.
Ensure payment processing is done accurately and within cut off deadlines.
Ensure share reconciliations between transfer agent, clearing houses and depositories are performed timely and accurately.
Ensures that all the current controls are followed by the Associates. Verifies all the tasks have been completed timely by the Associates through the daily tasklist.
Demonstrates logical, analytical, critical and process thinking.
Assists staff in complex problem / query solving and communication issues with Dealing Teams, depository banks, Clients and platforms
Uses results of previously solved complex problems to determine how it can be avoided in the future.
Escalate issues timely to the Manager.
Securities reconciliation system Knows how to look up, match items, review Settlement reports, to utilize system adequately in case of investigations.
Reviews daily securities reconciliations, balance breaks and reconciliations exceptions pending. Follows up on reconciliation exceptions and assists the Associates in the clearance of such exceptions accurately and timely specifically prior any dividend run, merger or liquidation activity.
Ensures proper support and oversight on outsourced tasks.
Provides constantly cross training and ensures knowledge sharing within the team to enable a full functional coverage within Platforms at all time.
Updates training log documenting any training need spotted and keeps skill matrix up-to-date with the latest status of the team,
Training & coaching of new hires and existing staff on new departmental procedures and controls.
Assisting the Manager in implementing new risk procedures, controls, user guides and tasklist ensuring they are also up-
to-date and maintained proactively by the team.
Ensure existing job aids / procedures / tasklist are up to date and regularly validated
Becoming familiar with Business Contingency Plans in order to assist the Manager to guide staff whenever the department is in contingency mode.
Ensures that the daily reporting is prepared and delivered accurately and in a timely manner.
Prepares weekly / monthly statistics and reporting.
Engages in special projects and other tasks as assigned by the Manager.
Participate actively on process improvement proposals, automation and outsourcing efforts.
Demonstrates the ability to provide leadership and direction in a group environment.
Leverage ability and judgement to know when and how to escalate / solve issues or problems before they become critical.
Demonstrate flexibility and capacity to prioritize and to deliver outcome even during challenging coverage situations and empowers the team to do the same.
Participates willingly on initiatives and projects to encourage effective changes (best practices) assigned by the Platforms Manager.
Shows good organizational skills in order to meet deadlines and keeps well documented records.
Ensures that task lists, job aids and procedures are up to date and followed and if necessary assist on creating missing documentations.
Maximizes organizational productivity to complete tasks effectively and accurately.
Ensure proper coverage is in place.
Excel in improving capabilities by constantly learning new areas.
Attends training courses and uses all available information (e.g. job aids, operating memorandums, prospectus) to improve job skills.
Initiates sharing of ideas, processes, client requirements and knowledge through effective coaching and counselling other team members.
Knows what, when and how to delegate to allow team members to develop job skills on internal and external client processes, requirements and structures.
Ensures timely follow up on outstanding requests and enquiries.
Leverages capability and judgement to know of when and how to escalate / solve issues or problems before they become critical.
Continuously reviews team performance and efficiency to determine if responsibilities and tasks were completed successfully Provide feedback to Platforms Manager.
