Responsibilities

As a Team Assistant with Hines, you will support Directors with all administrative tasks. Responsibilities include but are not limited to :

Manage calendar

Organize meetings / conferences

Produce expense reports

Coordinate documents for signature

Quality control of documents produced by different teams

Assistance in setting up excel and word templates for certain reports

Accumulate documents for coordination of review with outside counsel

Track the status of documents being circulated

Liaise with other country teams

Other office related matters

Qualifications

Minimum Requirements include :

  • High school diploma or equivalent from an accredited institution
  • Two or more years in an administrative support role in a professional office environment
  • Advanced knowledge of Microsoft Office
  • Strong communication and organization skills
  • Excellent communication skills with confident fluency in written and spoken French and English. Proficiency in German a plus
  • Ability to work well managing multiple deadlines and managers
