We are looking for our enthusiastic Master of First Impressions (a.k.a Administrative Assistant).

Do you enjoy giving hand and attention to people while remaining calm and flexible despite ever-changing priorities and needs?

Are you able to smoothly swim between urgent and non-urgent tasks while keeping your sense of humor and your positive nature?

Then this is the role for you.

You will primarily provide dedicated administrative assistance to our senior management team, while also providing general backup support to our Head of People and Culture and our teams.

More about you You are a team player with a positive attitude and a sparkling personality.

You have a modern mindset, comfortable with the start-up agile culture, sharp and good-humoured, flexible to changing environments, and are able to switch directions quickly.

You are detail-oriented and self-driven.

Your presentation is obviously neat.

We would also love it if you had a little bit of experience supporting a senior level executive or similar.

And, if you’ve supported multiple people at the same time previously, that is even better.

You are an excellent communicator, both written & verbal and are a pro at Microsoft applications including Outlook, Word, PowerPoint and Excel, ideally on Apple machines (you will receive one!).

Social networks have no secrets for you and if you have some photography or Photoshop skill or interest, it would be an amazing plus.

You have demonstrated an ability to be proactive, exercise good judgment, and uphold discretion and confidentiality in all tasks.

The role : Managing the diary and mailbox of the Managing Director, taking meetings minutes when required, assisting him on a day to day basis.

Liaising and negotiating schedules with internal and external stakeholders Providing timely information and advice on key issues as they arise to facilitate executive decision-

making, identifying potential solutions and making recommendations where appropriate Collaboration and coordination of information on priority projects, and in preparation of meetings, off-

sites and workshops Booking and managing all travels related activity Expense and finance management Providing support as needed to the broader senior management team Handling mails, incoming calls, welcoming visitors Providing HR administrative support when needed Ensuring a smooth and enjoyable running of our great working environment office supplies management and ordering Internal events’ organization, from movie nights to official celebrations Help us maintain the company image on social networks and job boards And many more details that will never make your days boring Besides these activities, you will play a key role in maintaining our unique culture, making the Pictet Technologies’ experience a unique one.

You'll come with : Demonstrated experience in similar role, ideally gained in the high-tech industry Crisp communication and interpersonal skills Experience in managing and protecting of confidential information Aptitude for handling conflicting priorities without loss of composure The ability to scale and adapt quickly in your role making recommendations and outsourcing where necessary True team player.
