ADMINISTRATIVE ASSISTANT / OFFICE MANAGER (M / F) DO Recruitment Advisors is delighted to represent one of its clients, a significant Family Office based in Luxembourg, in its search for an Administrative Assistant / Office Manager to perform office support, administrative and secretarial duties. THE JOB :
This is an exciting job opportunity for a hands-on office manager eager to ensure a smooth organization of the office and oversee administrative support.
Reporting to the CFO, the office manager works closely with all team members in the office.The varied responsibilities include :
Day-to-day administrative and organizational work;
Daily incoming and outgoing mails and documents (paper, electronic) : scan or download, distribute, follow-up and file;
Preparation of draft correspondence as well as support for legal documentation;
Office management : reception of visitors and phone calls, organization of meetings, management of suppliers, ...;
Preparation of documentation for corporate meetings, bank applications or KYC files;
Preparation of invoicing, monitoring bank accounts;
Keep up-to-date electronic checklists and follow-up data;
Filing and archiving all physical and electronic documents (Corporate, Procedures).
THE CANDIDATE'S PROFILE :
Diploma : 2-3 years of higher education (Management, Administration, );
Fluent in French and a good level in English;
Proficient in IT : MS Office;
Similar prior experience (min 2-3 years).
Rigorous; attentive to detail, including figures;
Developed team spirit;
Good communicator internally and outside in a confidential environment.

Our client is a significant family office based in Luxembourg. At the final stages of the recruitment process, the successful candidate can be asked to provide supporting documentation such as, for example, copies of diplomas or proof of previous jobs, and a standard criminal record check might also be requested.
