We recruit an Office Manager EN / FR for several clients.
Organize the meetings of the distribution team with external investors / prospects
Review the format and spelling of memo, reports, briefings, notes and presentations
Provide assistance in distributing and tracking various documents by following the different deadlines
Assist in the preparation of the team reporting to management
Assist in the preparation for various events
Take notes of meetings
Manage the updating of databases and maintain electronic archives
Field all telephone calls
Handle diary management
Handle general personal and professional administration of a highly confidential and sensitive nature
Organize all travel itineraries and arrangements, often complex
Coordinate conference (audio & video) calls interface with information technology department
At least 3 years of similar experience (in the fund industry, banking field or similar : strong asset)
Fluent in English and French. German / Italian / Spanish or any other European language is considered as an asset
Great attention to details and accountability for delivery
Ability to act autonomously when appropriate and know when to escalate matters
Excellent communication skills
You are immediately or rapidly available
