Job Description :
Personal Assistants often act as their directors' first point of contact with people from both inside and outside the organization.
In addition to supporting directors, Personal Assistants also have their own personal workload and responsibilities. We offer you the opportunity as a trainee to learn, support and assist the Personal Assistant by :
Assisting for the organising and maintaining diaries and making appointments;
Dealing with incoming emails, faxes and post;
Assisting your directors on the customer's process (follows up proposals, follow up files...);
Taking dictation and minutes;
Taking part in the organising and attending meetings and ensuring your directors are well-prepared for meetings;
Liaising with client, suppliers, other staff;
Producing documents, briefing papers, reports and presentations;
Assisting for the screening telephone calls, inquiries and requests, and handling then when appropriate;
Assisting for the arranging travels and accommodations;
Assisting for the controlling quality of deliverables and the respect of internal procedures;
Collaborating with management and various projects;
Participating to the administrative tasks related to the department.
Your Profile :
You are in the process of completing your bachelor degree, preferably in secretarial field;
You are fluent in both written and spoken English and French, German is an asset;
You master MS-Windows, master of Lotus Notes is an asset;
You have excellent interpersonal skills;
You are organised and flexible;
You demonstrate excellent communication skills;
You are proactive and a team player;
You are able of evolving in a dynamic environment.
