Provide reception support to our office in Luxembourg.
Our client is a leading global private investment firm. Our client manages a family of funds including private equity, venture capital and public equity and debt investing.
Meeting and greeting clients / visitors
Answering telephone calls and redirecting them as requested. Taking clear and concise messages
Booking meeting rooms for clients and internal meetings. Working with office assistant to ensure meeting rooms are clean and tidy in preparation of meetings
Co-ordinating visitors and ensuring they have an office, phone, etc
Handling overflow telephone calls for Assistants
Photocopying and faxing on an ad hoc basis
Booking ad hoc cars for clients / visitors
Collecting, dispatching and sending out mail
Ordering, maintaining and checking stock of supplies
Sending invoices to accounts payable for processing; checking payment status of invoices
Liaising with various vendors
Collaborating with IT department located in London on technical and IT issues
Collecting signatures and executed documents
Dispatching and coordinating payment of invoices
The individual we are looking for will be highly organised, enjoy working on their own initiative and dealing with high profile individuals.
They will enjoy working in a dynamic environment and taking extra responsibility as the role develops. They will have excellent communication skills and be highly responsive to requests from internal and external sources.
Salary level negotiable based on experience
