Executive Assistant Permanent contract, full-time, entry date : immediately The Executive Assistant ensures theefficient operation of the Chief Financial and AdministrativeOfficer (CFAO) office and supports the Executives and NonExecutives in the area of administration and finance.
The ExecutiveAssistant assumes secretarial responsibility for the ExecutiveCommittee & the Board of Directors, oversees the receptions’staff, checks Institute’s expenses report, manages the receiveddonations and donors relationships and coordinates with insurers.
Key Accountabilities Provide full administrative support tothe CFAO office, (diary, phone calls, presentations, travels, internal & external meetings etc.
Regularly attendmeetings and draft minutes (e.g. Executive Commiteee, Board ofDirectors, ) Manage the reception desks and oversee thereceptionists, Check Institute expenses reports, Manage thereceived donations and donors relationship, Coordinaterelationships with insurers Maintain office systems, includingtraditional and computerized document management and filing, etc.
Be flexible on missions (multi-tasks and multi- persons) KeySkills, Experience and Qualifications Bachelor’s degree orequivalent (Bac +2 / 3, BTS, DEUG) At least 5 years of experience ina similar position Ambassador to the inside and outside worldAbility to exercise sound judgment in dealing with confidential andsensitive information High level of emotional intelligence &ability to react with situational appropriateness Autonomy inorganizing work, proactive attitude Ability to prioritize his / hertasks Expertise in exchanges with administrative, governmental andscientific environments of Luxembourg is an asset Proficiency in MSoffice suite and with document management system Fluency andexcellent writing skills in English and French is mandatoryLuxembourgish and German is an asset Applications includinga cover letter and a full curriculum vitae should be sent before 30June 2020 through jobs.
