Apex Fund and Corporate Services (Luxembourg) S.A. pioneered a specialist approach to fund administration within the European Private Equity market and is currently based in 5 European offices providing outsourced services.

Its services include Fund Administration, Depositary, Fund Governance, FATCA and the Common Reporting Standard (CRS).

It employs around 20 people in Luxembourg and aims to attract enthusiastic and dedicated individuals.

The role :

For our growing business in Luxembourg, we are currently hiring for a Private Equity (PE) Fund Administration Senior Associate (3-5 years of experience).

Within our Fund Administration Department, you will be in charge of a portfolio of international clients and take responsibility for the administration, TA and CoSec of the private equity funds, SPV you will administer.

You will also be required to supervise junior staff within your team.

The main responsibilities of the position will include the following :

  • Manage and organise the day to day administration of the funds, vehicle we serve (incorporation / liquidation, board / shareholders meetings, investments transactions), liaison with external parties (bank, notaries, administration, );
  • Transfer agency services : onboarding of investors, capital calls, distributions, shares register update
  • Approval and filing of the annual accounts (liaise with external auditor, organize board and shareholders meetings) and filing of the annual direct tax returns;
  • Be responsible for maintaining process documentation;
  • Attend to the board / shareholders meetings;
  • Maintain close relationships with clients / intermediaries and local authorities.
  • Key competencies :

    The position holder should have the following key attributes :

  • Bachelor or Master degree in Corporate Law / Economics / Administration or any other related field;
  • At least 3 years of relevant professional experience of Fund Administration in Private Equity in Luxembourg, preferably gained either in domiciliation activity or Big 4;
  • Have the ability to multi-task, well organised and able to meet the deadlines in a fast-paced work environment;
  • Strong attention to detail and accuracy;
  • Ability to work on own initiative and be team spirit oriented;
  • Excellent inter-personal skills in dealing with both clients and colleagues;
  • Client-focused mindset and pragmatic approach;
  • Very good organisational and administrative skills, and ability to identify and suggest procedural improvements;
  • Fluent in English is mandatory (French or any other language would be considered as an asset);
  • Good working knowledge of MS Office tools with the ability to learn other relevant systems.
