The University of Luxembourg is a multilingual, international research University.

The University of Luxembourg has the following vacancy (temporary replacement) in the Physics and Materials Science Research Unit of its Faculty of Science, Technology and Communication :

  • Ref : F1-060013 (R-STR-8024-00-A)
  • Fixed-term contract 6-months, 50% (20 hours / week), with possibility to work up to 80%
  • Employee status
  • Start date : March 1, or as soon as possible
  • The Administrative Assistant will contribute to the administration of several research groups of the Physics and Materials Science research unit at the University of Luxembourg.

    Your Role

    The key activities of the Administrative Assistant will entail :

  • Organization of purchase orders and invoices for laboratory equipment and consumables, liaise with the UL procurement team, and wherever required, negotiation with vendors and suppliers
  • Maintaining laboratory inventory, work contracts, time sheets and budgets
  • Supporting the logistics of business trips of the principle investigators and team members, organizing visits of incoming researchers and guests
  • Interfacing with the administration teams of the University of Luxembourg, Luxembourg National Research Fund (FNR), UL Doctoral School, and with other Luxembourg-based institutes
  • Your Profile

  • The successful candidate should be comfortable working in an international and dynamic environment; should demonstrate an energetic and proactive attitude;
  • should have excellent communication and negotiation skills, with an ability to think and plan creatively; should be able to multi-

    task and allocate time and resources simultaneously at different fronts.

  • Pleasant, friendly and helpful personality, open-minded, proactive, able to multi-task and able to work autonomously.
  • Professional training and / or education in office management or studies in business administration, or related fields.
  • Background in engineering or natural sciences will be a plus

  • Demonstrated experience in administrative work or / and project management, preferably in a research or academic environment.
  • Dynamic, team player, enjoys working in a multidisciplinary and multicultural environment.
  • Ability to think quickly and out of the box, prioritise tasks, excellence in managing responsibilities and team requests.
  • Fluency in English is mandatory English is the working language. Proficiency in French (written and spoken) is required.
  • Knowledge of German and Luxembourgish will be an advantage.

  • Proficiency with modern office software, spreadsheets and content management systems; experience with SAP will be a plus.
  • Aptitude in dealing with numbers and budgeting.
