Our multicultural and dedicated Facilities team composed of 5 members is looking to recruit a motivated :

Facilities Assistant (M / F) 15-month fixed-term contract / full time - Luxembourg

What you will be responsible for

As a versatile Facilities Assistant, the role will consist of performing varied activities related to the planning and day-to-day operations in relation to the building and local premises.

What you will do

Under the supervision of the Operations Manager, you will be responsible for :

  • Performing regular maintenance and minor building repairs on a daily basis (lighting,painting, etc.);
  • Supervising external contractors in the building on a daily basis (heating maintenance, electric appliances, gardening, etc.) :
  • Proactively manage contractors, contracts and suppliers as directed to ensure service delivery;
  • Ensure attending contractors onsite have authority to work and have provided the correct health and safety documentation to commence work.
  • Record contractor activities onsite;
  • Identify, document and report the maintenance and repair work;
  • Providing support to employees for various facility related topics as needed (answer queries, coordinate parking availability, etc.);
  • Playing an active role in setting up office spaces and internal office moves including relocation of physical documents and furniture;
  • Monitoring the delivery of beverages and fruits, and restock fridges throughout the building;
  • Monitoring office supplies and maintenance of the copy room (binding machines, printers, paper orders, etc.);
  • Ordering supplies for different departments (stationary);
  • Ensuring archives are correctly stored;
  • Ensuring a smooth running of our laundry services;
  • Assisting the members of the reception team by monitoring internal rooms and facilities ensuring they are maintained and well presented.
  • Your profile

  • Experience in a similar role within a professional services firm (Big4, law firm, etc.) would be considered as an asset.
  • Fluency in English. Any additional language skills (particularly in French, Luxembourgish and German) would be considered as an asset;
  • Strong command of MS Excel and Word.

  • How we will support you

    In this position, you will have a complete overview of the activities of the Facilities department. You will have regular interactions with lawyers and other business professionals' of the Luxembourg office, as well as Facilities colleagues throughout the Clifford Chance network.

    You will be encouraged to develop your skills in process optimisation and will be able to attend trainings.
