Our client, an institution in Luxembourg is looking for an administrative assistant for 8 months.

  • The candidate ensures the smooth distribution of AFSs, MC Notes, Pins and OIBs through SmartNote, in respect with strict deadlines;
  • supervise the validation flow in SmartNote and train new colleagues on procedures and the use of SmartNote.

    He assists in the management of the flow of documents to be received for MC and Board submission.

    Ensure collection of required documents on the agenda; ensure accuracy of operational calendars.

    He prepares documents for the MC, CA, AC, RPC and any other governing bodies and manage their further distribution and validation in line with the operational needs and in compliance with EIB's procedures.

    He is responsible for the smooth administrative management of the activities carried out by the team in the Director General's office.

    He will assist the team in all administrative tasks, such as : schedule the diaries of the team members; He provides guidance to the Directorate staff on the Bank's administrative / operational procedures, including those related to the communication with the MC secretariat, Board and EFSI secretariat.

    The candidate speaks fluently English and French and he has a prior experience has an administrative assistant.
