Facilities Assistant (M / F) Permanent Contract / full time - based in Luxembourg
As a versatile Facilities Assistant, this role will consist of performing varied activities related to the planning and day-to-day operations in relation to the building and premises.
You will, under the grand-ducal regulation of June 9, 2006 and of Book III of the Labour Code :
Analyse health and safety risks and provide advice in order to eliminate or reduce risks;
Monitor regulatory obligations : European directives, labour code, ITM requirements;
Define firm strategy in order to develop and promote health and safety practices;
Draft, update and ensure the application of the firm's policies and procedures;
Manage security registers, maintenance logs and records;
Manage health and safety plans (updates, communication, management of the evacuation plan, emergency services, etc.);
Proactively liaise and maintain strong relationships with the ITM, Health ministry, AAA, emergency services;
Responsible for the continuous training of staff regarding security (evacuation, first aid, etc.) and involvement in newcomer inductions;
Set up procedures, follow up on protocols, sanitary recommendations, and ensure policies are correctly applied internally.
In charge of the asset's security and safety for both employees and of the building, you will :
Manage the security access-control system in conjunction with the security contractor;
Follow-up on the evacuation plan and compliance with the law;
Supervise the access of confidential documents;
Monitor the intrusion detection alarm system;
Manage archives and ensure confidential documents / papers are correctly disposed of;
In close collaboration with your facility colleagues and with the management, ensure the maintenance of all the building's systems.
Provide support to employees for various facility related topics as needed (answer queries and ensure the inbox is managed correctly, coordinate parking availability, etc.);
Play an active role in setting up office spaces and internal office moves including relocation of physical documents and furniture;
Be the backup of team members during absences;
Experience in a similar role within a professional services firm (Big4, law firm, etc.) would be considered as an asset.
Fluency in English. Any additional language skills (particularly in French, Luxembourgish and German) would be considered as an asset;
Strong command of MS Excel and Word.
Good communication skills, both verbal and written;
Enthusiastic and proactive attitude with pragmatic and hands-on approach;
Flexibility and ability to work in a fast-paced environment;
Rigorous and detail oriented;
How we will support you
In this position, you will have a complete overview of the activities of the Facilities department. You will have regular interactions with lawyers and other business professionals' of the Luxembourg office, as well as Facilities colleagues throughout the Clifford Chance network.
You will be encouraged to develop your skills in process optimisation and will be able to attend trainings.
