Ensure and deliver timely and accurate service to Partners, Clients and sales.
Work proactively with sales to ensure smooth cooperation and improvement of service Level.
Prepare proactively each client or partner visit for the sales by preparing set of documents, check missing information in our files and coordinate with the Insurer.
Make sure every client files are perfectly checked and filed. Ensure quick and professional communication of the file with the Insurance Company.
Ensure smooth follow-up with all parties involved : Insurer, Investment Manager, Sales, Custodian Banks, clients.
Look for opportunities to improve service delivery, i.e. through improvement of our documents or our processes. Develop new documents if needed, propose to adapt the processes if required.
Strengthen the relationship with the insurer(s) and follow up on client requests, regularly alignment of portfolios and exchange on a regular basis.
Take responsibility for client requests / calls and assist / organise client visits
Procedures & processes
Consistently contributes to the process improvement by :
o Drafting new procedures for all tasks connected to the retention of the existing portfolio and possibilities of new business.
o Taking ownership to draft procedures if this becomes necessary for the good organisation of the team.
Draft Operational Handbook’ of the company and take ownership of keeping this document updated, at any time.
Organisation / Structure
Take the responsibility to ensure perfect organisation of our Partners & Clients files (Hard copies & scanning, filing)
Create systems and overviews to ensure accurate information is available about our business and our client files.
Prioritise your tasks to accommodate workload.
German as native language is a must, English will be the group language, French and Dutch would be seen as an advantage
Bac+3, Bachelor or minimum work experience in similar position of 2-3 years
