For one of our clients, a EU Institution based in Kirchberg, we are looking for an : Operational Assistant Accountabilities :

  • Assisting to the Head of Division and the team in their day to day work
  • Coordinating the effective communication within and outside the Division
  • Finalising, distributing and filing documents and reports prepared by FMOs
  • Preparing and sending the Division ’s correspondence, proofreading and assisting in the finalization of various work documents (letters, presentations, reports, etc.)
  • Managing team members’ missions, including preparation of travel authorisation and mission expenses and liaising with the travel agency
  • Creating / updating the internal databases and monitoring IT tools
  • Assisting FMOs in updating and organizing contacts
  • Handling telephone contacts with clients
  • Occasionally preparing presentations (Power Point)
  • Ensuring mutual back -up with the other divisional assistants Qualifications :
  • Certified secondary level education complemented with a Certificate / Diploma of complementary studies (2 years or more) in a relevant subject (e.g.
  • business administration, accounting, economics, legal, etc.)

  • At least 3 years of relevant professional experience
  • Knowledge of legal documentation and basic knowledge of accounting or finance is advantageous
  • Fluent in English and a good command of French , knowledge of other EU languages would be an advantage
