Operating the switchboard - Maintaining the Admin Inbox and dealing with any administrative requests from the property and asset manager including the filing of relevant documents -
Entering of master data in IMS - Assisting with secretarial tasks; Organising of meetings, travel arrangements and team events -
Liaising with lawyers and notaries regarding legalisation of documents - Preparation of KYC documentation - Acting as CSR (Corporate social responsibly) responsible for the Luxembourg office -
Arranging and supervising the annual archiving process - Supervising the cleaning company and other suppliers of the Luxembourg office and ordering of sundries and stationary -
Opening and closing of bank accounts and acting as contact person for our house banks - Assisting with HR related administrative tasks such as the ordering and distribution of lunch vouchers -
Preparation of VISA expense claims - Participation in ad hoc projects especially in relation to acquisitions or disposals or group initiatives -
Onboarding of new team members - Finding resolutions for any general IT issues such as internet cuts with local suppliers -
Managing the confirmation letter process as part of the annual external audit - Maintaining of the contract database - Processing of manual payments if required -
