The Position Senior Administrator New Business

The Senior Administrator will support the Manager / Senior Manager to ensure that new clients and prospects are brought on efficiently and with a good first impression of Apex.

The New Business Department is fast-paced and a client-facing environment where first impressions count. The role is essential to meet continued growth in the number of client proposals, to contribute to business winning and setting up client structures.

The Skills

  • Assist the Manager / Senior Manager in the day to day running of the take on team
  • Understand and interpret the Fund’s documentation and the relevant legal framework, regulations and anti-money laundering regulations.
  • To assist in successfully on-boarding clients within the launch deadline meeting client take-on expectations
  • Assist in the creation and review of fee proposals
  • Assist with overseeing quality and control and meeting time deadlines
  • All work undertaken complies with the Fund’s documentation and relevant regulatory requirements and anti-money laundering regulations
  • Assist in controlling and coordinating work loads in the section
  • Draft Services Agreement at take-on
  • Effective communication across the Apex Group
  • Follow Company procedures at all times
  • Liaise confidently and knowledgably with the clients including intermediaries daily
  • Proactive approach to problem solving
  • Undertake bank account applications
  • The Role

  • Execute the duties of the role diligently and professionally
  • Keeping track of and raising on-boarding fee invoices with the Finance team
  • Attend and participate actively in regular team meetings
  • Respond to client and third party queries without any additional assistance
  • Assist with maintaining on-going review and updating of procedures for the Company
  • To manage workloads effectively and efficiently
  • Undertake general administration tasks for the new business team
  • Maintain the various registers for the teams clients
  • Help on matters relating to customer due diligence
  • Good numeracy and IT skills
  • Technical :

  • Preparation of AGM’s, EGM’s and Board minutes, ensuring their smooth and timely running
  • Understand and execute delegated elements of new business processes
  • Preparation and convening of board meetings, draft minutes and table all relevant documents
  • Prepare payments of fees and expenses
  • Undertake company secretarial tasks
  • Respond to client queries
  • Undertake general administration tasks for the team’s client base
  • Maintain the various registers for the team’s clients
  • Help on matters relating to customer due diligence
  • Basic understanding of bookkeeping / accounting
  • A sound understanding of the set-up for regulated entities / vehicles and knowledge of fund documentation
  • Working knowledge of company secretarial and regulatory issues
  • A good understanding of KYC / CDD requirements

  • Legal or economics / financial education (min bac+4)
  • Fluent in English (French or German Desirable)
