About the Role

The Executive Assistant reports to the Global Head of Fiduciary based in Luxembourg. The Executive Assistant is responsible for assisting the Global Head of Fiduciary of MaplesFS with corporate, general secretarial and PA duties.

Primary responsibilities include :

  • Processing audio transcriptions
  • Assisting with the drafting, proof-reading of letters, documents and presentations
  • Planning and scheduling meeting and appointments, calender management
  • Welcoming MFX client guests and visitors by greeting them, in person or on the telephone, answering or directing inquiries
  • Preparing and maintain expense reports, trip notes, travel arrangements
  • Assisting with other administrative and secretarial duties as needed
  • Maintaining complex spreadsheets and databases
  • Maintaining customer confidence and protecting operations by keeping all information highly confidential
  • Training & Development

  • Demonstrating a commitment to acquiring new capabilities, constantly striving to improve performance
  • Proactively seeking out ad taking advantage of training and development opportunities
  • Risk Management

  • Acting in accordance with legal, regulatory and internal risk management requirements, including complying with group policies and procedures
  • Maintaining confidentiality at all times

  • Produce accurate, neat, thorough work
  • Having a strong attendance record, be available as needed during the day and occasional evenings as may be required via remote connection
  • Grasping instructions and accurately and solving novel or problem situations easily
  • Effectively planning and organizing work and showing ability to meet deadlines
  • What You Bring

    In addition to indisputably high ethical standards and autonomy, the ideal candidate possesses the following :

  • Degree in Secretarial work or an equivalent qualification
  • Experience in a similar position or business
  • Fluent in English and French. Additional languages would be considered an advantage
  • Good knowledge of Outlook and MS-office products including Word, Excel and PowerPoint
  • Detail orientated and strong organizational skills
  • Excellent oral and written communication skills and ability to interact at all levels of organization
