As the Manager of the team the Officer is responsible for the management and supervision of the staff assigned to the group with respect to all aspects including the efficiency, accuracy, timeliness and training of the assigned staff.

The manager assumes responsibility for the efficient day to day running of the group and management of the client relationships particularly from the perspective of the service issues and queries, which are raised.

The manager works closely with the other departments within IFDSL Operations. The manager is a source of technical expertise for members of the group and other groups within the department.

The main responsibilities entail staff development, operations management (efficiency, accuracy, timeliness), developing and maintaining internal and external relationships.

The manager is responsible for delivering quality service and for maintaining excellent work and service level standards

Responsibilities :

  • Ensures that all tasks are completed accurately on a daily basis. Ensures that checklists and other documentation of tasks are completed and stored
  • Ensures that all payments are processed completely, accurately, and before all currency cut-offs. Research and resolve any payment issues including any potential positive screening matches.
  • Reviews and approves of the group’s specific Business Continuity Plans (BCP)
  • Performs a regular detailed work analysis to evaluate and justify staffing needs / requirements to ensure efficient processing.
  • Takes disciplinary action when necessary in consultation with the AVP / Officer & Human Resources Department.

  • Reviews the status of items not scanned into AWD prepare scanning statistics on a daily basis and also monitor Object Details Reports.
  • Monitors adherence to standard operation procedures and controls. Work closely with the other teams to develop new and review existing department procedures, control that procedures are implemented and followed, and co-
  • ordinate interdepartmental initiatives

  • Elevates issues to the other departments in Operations for resolution and reports any operational trends that result in increased queries or issues
  • Attends and conducts staff meeting
  • Assists in complex problem resolution. Provides technical expertise
  • Monitors work flow to improve efficiency. Manages and controls overtime. Minimise regulatory risks.
  • Engages in special projects and other tasks as assigned. Elevates any key client issues / trends to the direct manager
  • Knows the work processes in place, suggest and implement enhancements where necessary, monitors service level and volumes.
  • Also ensures that daily tasks are performed within deadlines by having an efficient control in place. Assists Team Leaders in their day-
  • to-day activities and maintains on-going communication with the staff.

  • Reviews and approves team’s specific Business Continuity Plans (BCP)
  • Assists in complex problem resolution. Provides technical expertise
  • Monitors work flow to improve efficiency. Manages and controls overtime. Minimise regulatory risks. Ensures Fund Compliance reporting
  • Engages in special projects and other tasks as assigned by the AVP / Officer. Elevates any key client issues / trends to the AVP / Officer
  • Builds and maintains a strong professional client liaison. Organises and leads client’s conference calls and responds promptly to client problems and requests.
  • Is reachable / available to the client when they call

  • Manages the client’s expectations with regards to the issues that they are raising and the ability and timeliness of the team’s resolution / response.
  • Acts as a point of elevation for the client for any issues they have raised

  • Assists auditors in their year-end or semi-annual audit by providing necessary reports or information and ensure proper follow-up of auditor queries.
  • Competences :

  • Good knowledge about Fund Industry and Financial Market in general
  • Excellent working knowledge of Payment processing
  • Excellent working knowledge of the scanning and archiving process
  • PC Skills

  • Advanced computer skills (Excel, Word, Power Point, Outlook)
  • English
  • Other European Languages (an advantage)
