LE POSTE : For one of our clients, a European institution located in Luxembourg Kirchberg, SOFITEX TALENT is currently looking for an ADMINISTRATIVE ASSISTANT FR-

EN (M / F) Your tasks : The Administrative Assistant provides day-to-day assistance to the Division in Luxembourg and to the External Offices network (consisting of 50 offices inside and outside the EU, approximatively 300 people) to enable the fulfilment of the Bank’s commitments for the external office network supporting the achievement of its goals in a timely and accurate manner.


  • Provide general administrative assistance to the Division, including assistance to the Heads of Office where needed
  • Manage telephone coverage, mail / document distribution, diary scheduling
  • Act as Helpdesk Travel Authorisations (TA) and assist newly recruited temporary staff in the external offices in creating Travel Authorisations
  • Organise the missions of Heads of Office, who have no Office Assistant and for the EER Team in Luxembourg
  • Monitor the requests for business cards, conference forms for the whole division
  • Assist in the preparation and planning for various events (e.g.
  • organising meetings, presentations, seminars, conferences, travel)

  • Draft / finalise correspondence on various topics on behalf of manager, attend meetings and drafts Minutes
  • Organise filing systems both electronic and on paper and ensure effective and accurate filing of all electronic and hard copy documents and other information for easy access and retrieval
  • Prepare letters and other documents and organise appropriate approvals and signatures
  • Cooperate with the other secretaries and members of the Department; contribute to a good working atmosphere within the division and the Department in order to facilitate the timely implementation of tasks, smooth flow of information and achievement of objectives
  • Manage the office supply PROFIL RECHERCHÉ : Qualifications :
  • Secondary level education, completed with a 2 year certification in a relevant field or secondary level education with equally qualified experience in a relevant field.
  • Minimum of 3 years’ experience as an assistant in a secretarial or operational position in a relevant field
  • Good understanding of the Bank’s operating methods and its procedures will be considered as an asset.
  • Knowledge of the Bank's standard office tools and experience in the use of software applications / databases (Word, Excel, PowerPoint).
  • Knowledge of PeopleSoft would be an advantage

  • Excellent verbal and written English language skills and a good command of French language This is an opportunity for a contract of several months, to start asap
