Corporate Assistant
To provide transversal operational assistance in the area of contract performance, by monitoring Facility Management (FM) contract performance through Key Performance Indicators (KPIs), by assessing data and indicators and preparing the related reporting, in line with policies, procedures and best practices.
Follow-up autonomously the collection of data to monitor the performance of FM service providers and related KPIs
Tasks :
Follow-up autonomously the collection of data to monitor the performance of FM service providers and related KPIs
Collaborate in regular reviews, checks and consistency control of data from FM service providers, provide assistance and optimise data storage processes
Collaborate in the assessment of performance and trends and, in case of performance deterioration, propose corrective measures
Participate in the drafting of standard reports for the management on the different elements of FM service providers performance
Pro-actively flag to management any delay, missing information or non-compliance in relation with the provision of data from FM service providers
Collaborate in defining procedures and applicable methodology for the performance evaluation of BLD’s main service contracts
Collaborate in enhancements of the KPIs framework and performance dashboard for all services provided
Provide support in the preparation of guides and presentations to raise awareness in the areas of contract performance and / or contract management
Support the team in overseeing the electronic document management in own field
Contribute to the continuous improvement of the processes and procedures in own domain, and update of process diagrams
Attend meetings, take minutes and ensure the accuracy of the decisions registered and their timely implementation where necessary
Collaborate on continuous improvement cycle (PDCA) where necessary
Overall support to procurement and contract administration activities when required.
Profile :
Secondary level education, complemented with a 4-year certification in relevant domain (e.g. business administration, facilities management, quality management)
At least 5 years of relevant professional experience in an operational support function in the domain of facilities management or contract management
Experience in KPIs / contract performance management and / or quality management would be an advantage
Tact and diplomacy; customer oriented; very good interpersonal skills
High developed sense of responsibility and initiative, capable to anticipate issues
Organised, data driven with analytical and technical skills and attention to detail to develop charts, diagrams, and reports, including merge of information from various sources
Excellent knowledge of Microsoft Office tools, with proficiency in Excel
Strong editorial skills in English
Very good command of French
