A professional services firm, working in Luxembourg and the UK, is now in need of a Senior Office Manager, who has more operational management and oversight experience.
Working in a small office with 10-15 people on the team working both locally and remotely, reporting to two Directors who will be growing the office and team over the next 2-3 year.
Different from the typical small firm duties, it isn’t just the bookkeeping and controlling duties on the financial side, but also the HR duties and operational tasks needed.
You’ll have amazing exposure to the senior management team but also the autonomy to run operations how you feel suits the organization best to the highest standard, creating new ideas, problem-solving with the team, and be solution-orientated for any changes and updates
The responsibility is great as you’ll be the authorised person in Luxembourg to sign off all documents and agreements, interacting with clients, and third-party organisations.
It’s quite a modern role in the sense that all new programmes and software is used, online tracking of payments and documents
Also open to someone looking for 80% work.
Main duties :
Preparing payroll for employees and approving online payments
Liaising with Accountants for any queries and bookkeeping
Point of contact for clients updates and contracts
Tracking company financials
Maintaining and updating files and annual accounts
HR (Arranging new staff, holiday approval etc)
Managing all IT needs and stock update
Working with Senior managers closely on internal and external affairs
Working on social media campaigns
Managing GDPR and regulation duties that may arise.
Reporting the MD and Director.
As the team is quite diverse and needs vary it would be good to have an experienced Senior / Director managing this position so ideally 10+ years in office management and operations would be preferred.
Ideally been in your current role for 4-5 years or similar.
Fluent English is essential and either French, German, or Luxembourgish is a bonus
Worked in both the UK previously and Luxembourg currently
Have a passionate and open-mind attitude to work
Familiar working with small and / or medium-sized company previously
