Key Accountabilities

  • Preparation of contracts and addendums, especially for any type of seasonal contracts, conventions for scientific visitors and students intership .
  • Prepare complete files in accordance with the Labour Law and HR processes in place and be the focal contact point for visiting scientists and interns.

  • Carry out residence and work permit applications and ensure comprehensive follow-up, monitor insurance coverage for visiting scientists.
  • Prepares and maintains reports that are necessary to carry out the functions of the Human Resources department : carry out monthly / quarterly reporting (statistics analyses and social report and any other internal / external reporting), Prepares ad hoc reports for management and scientific department as necessary or requested.
  • Assist with the day-to-day activities of the HR office.
  • Maintain employee files and the HR filing system. Update HR databases and the usual HR tables on a daily basis.
  • Collaborate and follow-up on HR Projects : prepare and monitor satisfaction surveys, track and report attendance to training events (e.
  • g. New Hires onboarding program, mandatory training plan, etc.).

  • Follow up administration of the master training plan (invoicing follow up, input and tracking of attendance lists, follow up of professional certification, etc.).
  • Collaborate to the administration of the HR systems (input of employee’s data, training data, appraisals, etc.).
  • Collaborate to the organization of trainings (logistic organization, monitoring of registrations and attendance, etc.)
  • Welcome new collaborators : contract explanations and signature.
  • On request, provide advice and answer employee questions in respect of Labour Law and Social Security.
  • KEY SKILLS, EXPERIENCE AND QUALIFICATIONS

  • Minimum a Bachelor's degree or equivalent in Human Resources, Business, or Administration.
  • Professional experience of at least 2 years in a similar position. Willingness to learn.
  • Demonstrate a high level of confidentiality.
  • Skilled with numbers, versatility in HR administrative matters.
  • Knowledge of and interest in legal aspects relating to employment contracts, social security and public bodies in Luxembourg.
  • Good understanding of GDPR in an HR environment.

  • Accuracy and responsiveness to internal client is key.
  • Excellent communication and interpersonal skills, autonomy, responsibility, good listening skills, flexibility.
  • IT skills : advanced knowledge of Word, Excel, PowerPoint.
  • Skills in database management and records keeping.
  • Language skills : good command of French and English, knowledge of Luxembourgish and German is an asset.
