Administrative Expenses Support

  • Working Location : Luxembourg
  • Language : High proficiency level in English language; Good knowledge of French language

    Essential Qualifications / Experience :

  • Certified secondary-level education and certificate / diploma of further studies in accounting / administration (minimum 2 years) or equivalent proven experience
  • 2+ years of professional experience in accounting, administrative assistance or any other related field
  • Experience with common Enterprise Resource Planning (ERP) software
  • Desirable Qualifications / Experience :

  • Experience related to administrative expenses in an international organization, specifically in the following areas :
  • üReimbursement of staff expenses (travel and other) following internal procedures and travel policy

    üControl and execution of Accounts Payable and Accounts Receivable (validation, problem solving and client service)

    üPayments related to HR transactions

    üExperience in VAT recovery claims

    üExperience in Client servicing


  • Control and approval of Travel Expenses in line with the Bank’s Travel Policy and procedures
  • Provide help desk support to EIB travellers for queries regarding travel expense reimbursements
  • Control of supplier invoices and assistance in the Procure to Pay process, as well as dealing with queries from suppliers and internal counterparties
  • Preparation of KPI reports
  • Assistance in the payment process of administrative expenses
  • Assistance in the VAT compliance process
  • Perform regular controls as laid down in the Directorate’s Internal Control Framework for the business areas Travel Expenses, Accounts Payable, Accounts Receivable and VAT
  • Accounting, reporting and reconciliation activities in the field of administrative expenses
  • Assistance in the production of financial reports
