Essential Duties and Responsibilities
Managing and Overseeing the day to day tasks and responsibilities of the Investor Services and Client Due Diligence Teams within the AIS Luxembourg
Operational objectives will include :
Implement and enhance departmental policies & procedures, processes, workflows and checklists
Work with Compliance and Management to implement a Transaction Monitoring solution for ongoing investor activity
Ongoing review of Sanction Screening process to highlight areas for improvement and automation
Collaborate with system developers and operational teams to enhance automation of reporting processes, i.e. Capital Calls, Distributions, Capital / NAV Statements
Lead the ongoing monitoring and enhancement of client and investor KYC processes to incorporate CSSF regulations and internal policy uplifts
Lead and coordinate internal and external audits, ensuring recommendations and action plans are implemented effectively into the BAU operating model
Collaborate with Compliance in the drafting of processes relating to ongoing departmental monitoring initiatives
Assist and coordinate drafting of client service level agreements and operating memorandums for respective teams
Review of daily processes performed by the teams, including : Sign off and escalation of initial and periodic KYC file reviewsReview and approve screening reportsGenerate KPIs by department for presentation to the boardOngoing monitoring of security administration recertification requests for online banking platforms and internal systemsSign off on daily reconciliations of team mailbox against system generated reports
Ongoing monitoring and coordination of outsourcing and insourcing arrangements and respective service level agreements
Drafting of Request For Proposal (RFP) documents regarding new business pitches
Identify improvements to record keeping & filing processes whilst ensuring data privacy and documentation storage policies and procedures are followed
Management objectives will include :
Staff Appraisals - effective development and goals setting for direct reports
Establishing the strengths and weaknesses of the resources available and working with Management in identifying solutions for the business
Employee Engagement Initiatives - promoting team work, global inclusion, staff events
Internal Management Programs - raising profile in the wider group by contributing to compliance committees, operational working groups
Completion of head count and fee assumptions for new business proposals
Technical Knowledge / Skills Required
A good knowledge of State Street - AIS business activities and a working knowledge of applicable regulations
Possess a keen customer focus by contributing to ongoing client conference calls, onsite service reviews and new business pitches
Knowledge of AML legislation essential, including circulars and regulations released by the CSSF
Good problem resolution, analytical and administrative skills
Adept at reading and effectively interpreting structure charts
Excellent communication skills, in particular the ability to produce good quality, concise reports and other forms of business correspondence as well as an ability to clearly relay information verbally
Good IT skills, in particular Word, Excel and Outlook.
Ability to perform effectively to strict deadlines and maintain an organised approach to ongoing deliverables
Minimum Education / Qualifications
The successful candidate will be expected to hold a relevant professional qualification or be working towards one
Direct operational experience in the field of Transfer Agency, Investor Services, AML / KYC
Experience in Funds industry essential
At least eight years of work experience in a Transfer Agency, Compliance, Risk or Control function within a Financial Services Business and at least five years of managerial experience
