Your challenge : Oversee the day to day running of the office for the following tasks : Proactive management of Holding office Organize office operations and procedures Assist in organizing events and meetings, especially Executive meetings and Board meetings Sign for, record and distribute all incoming courier packages Assist with general office maintenance, when required, in close cooperation with the facility manager Assist with starters and leavers setup / admin including telephones, keys, badges, IT accounts and introductions, etc.
Assist with IT enquiries from staff, liaising with our IT department Preparation of Word, PowerPoint and Excel documents including accounts, letters, emails, reports and presentations.
Coordination and management of diaries, travel arrangements and meetings, internally and externally.
Cover reception, answer and direct phones call Provide general support to visitors Order office supplies and maintain supplies inventory Ensure operation of office equipment (repairs, evaluating new equipment needs, ) Manage the relationship with local providers including selection and negotiation -
and administrations in compliance with the Corporate Guidelines Manage the local office G&A budget : orders / invoices / payments in compliance with the Corporate Guidelines Further tasks may be assigned within the frame of the profile.
Your profile : Holder of degree in secretarial work or an equivalent degree Excellent executive communication skills, both written and spoken 5-
10 years of experience in a similar role Executive presence Excellent knowledge of English and French, any other language is a strong asset (Spanish, German) Strong Microsoft Outlook and Microsoft Excel skills and ideally knowledge of Microsoft Office applications Being a team player with hands-
