BIL’s Programme, Project & Portfolio Management (3PM) Unit is responsible for the successful and timely delivery of strategic, bank-

wide Business and IT programmes and projects as well as managing the 5 Bank Project Portfolios

BIL is seeking : a Junior PM / PMO Trainee (M / F) to bolster the 3PM team in achieving these objectives.

Using BILs overall Project & Portfolio Management methodology, the successful candidate will get the opportunity to be involved in all aspects of project and portfolio management : from running project / programme specific PMO processes, report production, meeting management, minute taking, executing key aspects of Portfolio management to delivering a project work stream or even small projects independently.

Key Accountabilities :

The successful candidate will report directly to a Programme, Project or Portfolio Manager and have a dotted line into BILs PMO for all operational aspects regarding reporting, portfolio management and methodology that may arise from the Programme / Project / Portfolio activities.

The role covers a wide range of activities such as :

  • Assist the Programme / Project / Portfolio manager with various activities (eg. Reporting) stipulated by the Programme, Project, Portfolio or Bank governance and act as the first point of contact for any related queries within the Programme / Project / Portfolio on behalf of their manager
  • Perform project set-up activities as well as maintaining the structures and reporting for the Programme / Project / Portfolio in line with BIL's overall Portfolio Governance and Project Management approach
  • Support the creation, follow-up and reporting of Programme / Project / Portfolio budgets
  • Support the planning process for the Programme / Project / Portfolio, which may include facilitation of planning workshops and creation of project plans
  • Support Change Management activities for Programme / Project / Portfolio
  • Maintain resource forecasts and staffing profiles, resource plans and execute the onboarding process on behalf of Programme / Project / Portfolio
  • Ensure submission of time recording by Programme / Project / Portfolio resources and follow-up time recording irregularities
  • Support the Programme / Project / Portfolio governance structure and meetings, which may include the preparation of materials, writing of minutes and following-up actions
  • Keep the strategic reporting tool (Clarity) up to date with a current and accurate record of Programme / Project / Portfolio schedule, budget and delivery status.
  • Experience, Knowledge, Skills

  • Masters Degree in Organization, Economics, Mathematics / Engineering or Information Technology but candidates from other subject areas will also be considered if project management related competence and experience can be demonstrated
  • Excellent interpersonal and communication (oral and written) skills at all levels
  • Ability to structure reports, proposals, and other related project / program data in a clear, succinct manner and tailor it to the relevant audience
  • Ability to communicate financial results and analytics to non-finance people
  • Strong analytical skills
  • Drive for delivery and customer service
  • Fluency in French is a must as are strong English skills (written and oral); other languages constituting an advantage
  • Proficiency in Microsoft Office (mainly Word, Excel, PowerPoint), SharePoint (using and editing)
