As a Corporate Administration Representative, you will be responsible to ensure service excellence to several clients in the UCITS and Alternative Investment Funds segments.

This will be evaluated on the ability to perform Corporate Administration functions in a controlled and efficient manner while maintaining high client satisfaction.

Key Responsibilities : 1. Product

1. Product

  • Provide company secretarial services for client board meetings, AGMs and EGMs
  • Organisation of these meetings including, drafting notices, coordination of board packs and minute taking
  • Support the incorporation of SPVs in conjunction with local notaries
  • Maintain corporate documentation for domiciled entities
  • Scan and file all applicable legal documentation
  • Perform the Luxembourg Trade and Register (RCSL) filings
  • Maintenance of the corporate legal events calendar
  • Ensure work is processed in accordance with agreed operating procedures
  • Interact and establish a solid relationship with all relevant BBH Teams
  • Coordinate across departments / functions when needed to meet client needs
  • Establish solid and frequent client contact
  • Ensure any service issues are addressed immediately and escalated accordingly
  • Qualifications

    1. Education level and / or experience

  • University degree with a minimum of 2 years’ experience in the sphere of corporate administration activities within the funds industry or domiciliary services
  • 2. Knowledge and skills

  • Fluency in English is mandatory; German and / or French is an asset
  • Excellent minute taking ability and proofing skills
  • Highly organized with strong attention to detail
  • Excellent communication and client-facing skills at all levels of management up to and including Board of Director level
  • Can work within a small team in a changing environment
