Your Role

  • Plan, execute and monitor University-wide public or internal events, VIP visits or university stands supporting the institution’s mission and strategy
  • Advise Faculties and Interdisciplinary Centres for large scale or VIP events
  • Calculate and manage budgets, negotiate with suppliers (in coordination with the procurement office) and search for suitable venues
  • Promote events by preparing communication material (e.g. invitations), editing printed matter and setting up online registration pages
  • Ensure sound coordination between the different University stakeholders, suppliers and partners
  • Assure the smooth running of the events on the event day, including set-up, production and break down
  • Deliver post event reports, assessing the success of each event in line with objectives and KPIs, and proposing improvements
  • Set up and maintain databases and checklists
  • Update the University’s central event webpage
  • Your Profile

  • Education : Bachelor required in business administration, event management, or equivalent
  • Languages : Fluent English, French and German required; Luxembourgish highly desired
  • Technical Skills : Excellent knowledge of MS office suite; web publishing platforms and technologies; experience working with client relation management systems a plus
  • Other possible competencies : excellent organizational and interpersonal skills; team spirit; ability to balance competing priorities
